When information reaches the end of the retention period assigned, there are multiple reasons as to why you might want to review the information prior to deletion. For example, instead of permanently deleting the information, you might want to do the following:

  • Suspend deletion of specific content for litigation reasons.
  • Assign a different retention period for the information.
  • Move the information from its existing location to an archive due to historical value.

This is where disposition review comes into play, allowing you to select one or more reviewers at the end of the retention period to make sure that the information is safe to be deleted or take another action on.

We briefly discussed the possibility to use disposition reviews in retention labels in the Configuring labels for records management section of this chapter in steps 7 and 8.

Figure 12.32 gives us the workflow for a disposition review:

Remember to grant reviewers the correct permissions in the compliance center. The role in question is the Disposition Management role. There is not much else to the configuration of the workflow outside of the steps taken in the previously mentioned steps 7 and 8 of the Configuring labels for records management section.

With that said, there are some more settings to consider when it comes to disposition reviews. For example, the default email notification sent to reviewers can be customized from the Microsoft 365 compliance center:

  1. From the Records management page, select Records management settings:

2. Select the Disposition notifications tab, where we can see the default message and add content to the default message to clarify it for the reviewers:

With the basics of disposition reviews covered, let’s look at how to use the feature in practice.

Viewing and disposing of content

When a reviewer is notified that they have content to review, they can click the link in the email provided or navigate manually to the Microsoft 365 compliance center and the Disposition page. There, reviewers can see how many items for each label are waiting for disposition with Pending disposition displayed under Type:

From the Pending dispositions page, the reviewers can see all pending dispositions for a specific label and select an action to take on the items listed:
